Terms & Conditions – The Hideout Country Lodges
Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.
Bookings are subject to the following terms and conditions.
Contract
By making a booking you have entered into contract between “you” (the guest) and “us” (The Hideout Country Lodges). This contract becomes legally binding once “we” (The Hideout Country Lodges) have sent out a confirmation form and is subject to all our booking conditions. Ensure that you check all information on your booking confirmation carefully and notify us of any discrepancy or mistake. You must be 18 years or over when the “property” is booked. Please advise other adults within your party of these booking conditions.
Payment
A deposit of 50% of the rental fee is payable immediately upon making the booking where the booking is made more than 21 days before the start of the rental. The booking will not be confirmed until the deposit is received. The balance shall be payable in full 21 days before the commencement of the rental. For bookings made less than 21days before the commencement of the rental the total fee is payable.
Cancellation/Refund Policy
Any cancellation made by the Guest for whatever reason shall be in writing and addressed to The Hideout Country Lodges:

If you cancel your holiday more than 21days before its due to start, then 75% of paid prepayments (deposit) are refundable. If you cancel less than 21 days before the holiday, then the full balance remains due and 0% is not refundable.
We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.
Cancellations due to Covid-19 (or variant of). Bookings that can not legally go ahead due to Government enforced travel restrictions will receive a credit voucher for the fees paid to enable the Guest to rearrange their booking. Credit Vouchers will be valid on any lodges and any dates (subject to availability) for a minimum of 12 months from the original arrival date. It is strongly recommended that Cancellation Insurance covering illnesses including Covid-19 is purchased at the time of booking.
Your booking will not be cancelled by the owner except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.
Changes of Date
The Hideout Country Lodges may consider a request from a Guest to change the dates of the booking after confirmation has been issued. Agreement will be given subject to all of the following conditions being met: if the property is available for the period requested, the request is received more than 21 days prior to the commencement of the rental; the Guest pays an administration fee of £30.00 (inc VAT) and any additional sums due.
No parties or events – the maximum number of persons using the accommodation at any time must not exceed 4 adults plus 1 baby, and only those listed on the booking form can occupy the property. Cots are deemed suitable for babies up to 24 months. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.. The property shall be used for personal and domestic purposes only. The property shall not be used for any commercial purposes without the consent of The Hideout Country Lodges.
VAT
VAT is included in the rental fee where applicable.
Period of Hire
Rentals commence at 3pm on the day of arrival and end at 10am on the day of departure.
Bookings cannot be accepted from persons under eighteen years of age.
The owner reserves the right to refuse a booking without giving any reason.
We or our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.
Use of Property
The booking shall be deemed to be for the purpose of the people whose names appear on the booking form. The number of persons using the Holiday accommodation (except for babies in cots where applicable) shall not exceed the maximum number stated in the property details. Cots are deemed suitable for babies up to 24 months. The property shall be used for personal and domestic purposes only. The property shall not be used for any commercial purposes without the consent of The Hideout Country Lodges. The Hideout Country Lodges reserves the right to refuse entry to the entire party if this condition is not observed, and generally in the case of any breach of these Booking Conditions by the Guest where The Hideout Country Lodges consider such exclusion is reasonable.
Complaints
Should there be any cause for complaint during the occupation of the property we must be notified promptly and in case of serious problems the complaint must be confirmed in writing within 7 days of departure.
Care of the Property
The Guest shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and condition and in the same clean and tidy condition at the end of the rental period as at the beginning. The Guest shall abide by all instructions with regard to the use of the property and its fixtures and fittings as notified by The Hideout Country Lodges.
The Guest shall take care not to leave personal possessions in property on departure. The Hideout Country Lodges will make every effort to return high value items provided that the Guest notifies The Hideout Country Lodges within 24 hours of departure. The Hideout Country Lodges accepts no responsibility for personal possessions left in the property following departure.
Smoking
All our properties at The Hideout Country Lodges are no-smoking and no-vaping properties, should the Guest smoke inside the properties we reserve the right to ask you to leave even if your let is not complete & forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by smoking will be at the expense of you.
Dogs (only pet allowed)
-Only 2 dogs are allowed at one time
-Please don’t let pets onto the furniture, especially sofas and beds. No dogs allowed upstairs at all. Dogs towels are provided per stay, please towel dry your dog down before entering the lodge if muddy or wet. Guests must clean up after all dogs inside and outside of the property, or they will be charged for extra cleaning costs. Guests with allergies should be aware that we cannot guarantee that there have been no dogs previously kept at the property, nor can we accept any liability for any suffering which may occur as a result of such pets having been present. An extra charge of £20 per dog per stay is applicable.
Breakages or Damages
The Guest is legally bound to reimburse The Hideout Country Lodges for replacement, repair or extra cleaning costs incurred as a direct result of the Guest’s use of the Property on demand.
In making a booking you accept responsibility for any theft, breakage or damage caused by you, pets or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. A security deposit of £100 is required and will be returned within 2 days of the end of your holiday, less the cost of damage/breakages. Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage.
The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.
Keys
You will be issued with a set of keys to the holiday property at the commencement date. You must return the key as directed by The Hideout Country Lodges. If you lose a key, The Hideout Country Lodges will replace it – you will be expected to pay reasonable costs to have a replacement cut.
Cautionary Damage Security Deposit
It is required that the details of a debit or credit card will need to be held securely during your stay. This is in respect of us needing to charge for any substantial damage, loss of contents to the property or any additional costs incurred during your stay. This does not include normal wear and tear and minor incidentals.
No money will be debited or credited from the card at this time and we would always contact you initially should we need to charge any monies, for any reason.
Please do not move any furniture from one room to another.
Please remove shoes before entering the house.
Please lock the doors and close the windows when you leave the property unoccupied.
Please make sure you switch off lights, heating, air conditioning or any electrical appliances when you go out – we’re an eco-friendly holiday home.
Please don’t take any bath towels with you off site.
Access to Holiday Property
A representative of The Hideout Country Lodges shall be allowed access at any reasonable time during the holiday occupancy should an emergency or problem arise that need attention by a member of staff. A representative of The Hideout Country Lodges shall consult with the guest prior to entering the property.
Noise
For the enjoyment of all guests staying at The Hideout Country Lodges, noise should be kept to a minimum between 10.30pm and 8am.
Liability
The Hideout Country Lodges shall not be liable to the Guest for any type of indirect or consequential loss or damage, costs, expenses or other claims for consequential compensation whatsoever (however so caused) which arise out of or in connection with the Contract.
Save for any rights under these Conditions and the Contract which may be exercised by The Hideout Country Lodges, no term of the Contract is enforceable under the Contracts (Rights of Third Parties) Act 1999 by a person who is not a party to the Contract. Without prejudice to the foregoing, if the property which the Guest has booked becomes unavailable or un-useable for some reason prior to the date of booking, then The Hideout Country Lodges obligation will be to (1) use their best endeavour to find a suitable alternative property, or failing which (2) to reimburse the Guest for any monies paid.
Force Majeure
Force Majeure, of the nature of which this clause is intended to cover, includes without limitation fire, flood, exceptional weather conditions, epidemics, pandemics, war, civil war, invasion of foreign enemies, war-like activities (whether or not there is an actual declaration of war), rebellion, insurrection, civil commotion arising to the level of uprising, military or usurped power; acts of terrorism committed for political, religious, ideological, or similar purposes; actions intended to prevent any of the above and damage of the Property by any cause other than negligence of the Owner or The Hideout Country lodges, and all similar situations. No compensation, costs, expenses or other sums of any description (including without limitation the cost of securing an alternative property/accommodation) will be payable in such circumstances by The Hideout Country Lodges.
The client may in no circumstance re-let or sublet the property, even free of charge.
The owner shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds or hot tub/pool.
No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service.
Warranties
The Hideout Country Lodges does not warrant and is not responsible for the accuracy of any verbal information given or statements made by its employees, agents or the owners of the properties.
Hot Tub- The hot tub may not be up to temperature on arrival due to cleaning and refilling on change over days.
Please avoid using glass or sharp objects in or near the hot tub.
Guests must shower before entering the hot tub to rinse off creams and makeup.
Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.
Please park your vehicles in the designated parking space, ensuring cars do not block access to other properties. Parking is limited to 2 vehicles per lodge.
Candles are not allowed inside the house.
We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
This property is privately owned and the land is used by the owner for keeping horses, the owners may be on site daily for this reason . We expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own house.
